Your first steps in Sync Pro

The real order of getting started, from joining your team to inviting the rest of it, and how long each step takes.

This is the whole route, in the order that wastes least time. You do not need to know anything technical, and nothing here takes long. Once you are inside your team, steps 2 to 6 are the same ones, in the same order, as the first steps on your dashboard, which tick on their own as you go. How that list works is in The first steps.

1. Join your team, or create one

If somebody invited you, you already have a team: accept the invitation and you land inside it. If you are the one starting, create the team and you become its owner.

A team is your workspace. Everything — the conversations, the contacts, the boards, the templates — lives inside it, and nothing crosses to another team.

About a minute. See Creating a team and moving between teams.

2. Connect your WhatsApp number

The one step that unlocks the rest. In Settings → Integrations, press Link WhatsApp: a Facebook window opens, you link your WhatsApp Business number there, and back in Sync Pro you choose which number to send from. If the account has only one number, Sync Pro confirms it for you.

Have ready:

  • Edit Settings in your role. Without it, Settings → Integrations does not show the WhatsApp section. Whoever created the team has it from the start.
  • The Facebook account that administers your business portfolio.
  • The phone number you want to use, with access to receive its verification code.

Sync Pro generates a six-digit Two-step PIN for the number and shows it in the connection while the number stays connected. Write it down: Disconnect erases it, and linking again or using Change number generates a different one. If your team connects by pasting a token instead, no PIN is generated.

About three minutes, most of it inside Facebook's own window. See The WhatsApp module. If it does not go smoothly, If something went wrong connecting WhatsApp covers what usually happens.

3. Check that messages really arrive

Send a WhatsApp to your own business number from another phone and watch the conversation appear in Chats. This is the step that proves the connection rather than assuming it.

Two minutes. See Your first message.

4. Create and send your first template

WhatsApp only lets you write freely to someone who wrote first, and only for 24 hours. A template is what lets you start a conversation after that. If your WhatsApp Business account already has approved templates, import them instead of writing one. The step on the dashboard ticks when you send your first one.

A few minutes to write it, plus Meta's review, which Sync Pro does not control. See Message templates and How to build a template.

5. Build your board

A board turns the inbox into steps you can see: who is new, who was quoted, who is closing. Create one from Kanban, add the columns your process actually has, bring your chats in with Add chat, and drag the cards from column to column as they move.

Fifteen minutes. See How to build your funnel.

6. Invite your team

Add the people who will answer. Give each one a role, and set who receives a conversation that arrives from a number nobody has claimed. The step on the dashboard ticks when the second person joins the team, not when you send the invitation.

Five minutes. See Set up your team and Roles and permissions.

Also worth doing early: bring your contacts

This one is not in the dashboard's list, but it saves typing. If you already have a list, upload it as a spreadsheet from Leads instead of typing it in. If you have been answering from your phone, you can also bring the old conversations across, one chat at a time, so the history is there.

Ten minutes for a list of any size. See Bring your contacts, and take them with you and Bring your earlier conversations.

If your team has other modules

If your team has Callpicker, ChatGPT or Odoo on, each one adds its own step to the dashboard's list, at the end: receive the first call, connect ChatGPT, connect Odoo. These appear as soon as the module is on, even before your number is linked. Each module has its own guide in the help centre, and The first steps says when each of those steps ticks.
